Portal privacy notice

How The Mood Booster employee portal uses your information. Last updated 30 October 2026.

The short version

We keep the least we can: your work email, which workplace you’re from, and when you last logged in. Anything you write in the portal (journal ticks, your wellbeing plan, your log) stays on your own device. We never see it, and neither does your employer.

Who we are

The Mood Booster Ltd (company number 16899651) runs the portal and is responsible for your information. Contact us any time at hello@themoodbooster.co.uk.

What we collect and why

Your work email and workplace, to check your workplace is Mood Booster Certified and to email you login links.
When you log in, to keep you logged in on your device and to remove accounts nobody uses.
If you ask to join without a work email: your name and email, which we send to your workplace’s Mood Booster Champion so they can approve you.

We use this information because it’s needed to run the portal you’ve chosen to use (legitimate interests). We don’t use it for marketing. The 3 Small Wins newsletter is separate and only if you sign up to it.

What stays on your device

Everything you type or tick in the portal is saved in your browser on this device only. It isn’t sent to us. If you clear your browser data or switch device, it won’t come with you.

What your employer sees

Nothing about you. We may share overall numbers with your workplace, such as how many staff have signed up, and only when at least five people are counted. Your champion only ever sees your name and email if you ask them to let you in.

Who else handles it

Cloudflare hosts the portal and its database, and Resend sends our emails. Both act only on our instructions.

How long we keep it

Login links expire after 30 minutes and you stay logged in for 90 days. If you don’t log in for 12 months, we delete your account. If you leave your workplace, your old work email stops working, so you won’t be able to log in again.

Cookies

The portal sets one essential cookie, mb_portal, to keep you logged in. No tracking or advertising cookies.

Your rights

You can ask to see, correct or delete your information at any time by emailing hello@themoodbooster.co.uk. If you’re unhappy with how we’ve handled it, you can complain to the Information Commissioner’s Office.
